Position Title: District Program Secretary
Reports To: Director of Curriculum and Instruction
Salary Schedule: Classified Level II A
Contract Days: 240
Position Summary:
The District Program Secretary is a dynamic, multi-functional role responsible for providing
high-level administrative, clerical, and programmatic support across several departments,
including Curriculum and Instruction, Federal Programs, Central Office, Professional
Development, Registration/Enrollment, and District Finance. This individual ensures smooth
operational flow, supports student and staff success, manages sensitive information, and
coordinates compliance across the district.
Core Responsibilities:
Administrative & Executive Support
● Provide confidential executive support to the Director of Curriculum and Instruction.
● Schedule and coordinate meetings, appointments, and event logistics.
● Prepare and process correspondence, presentations, and educational and personnel
documents.
Professional Development (PD) Coordination
● Manage the escWorks PD platform: enter classes, register staff, and generate attendance
reports
● Generate reports through the ArkansasIDEAS platform
● Track and verify educator PD hours, comparing transcripts to PGPs; contact staff
regarding discrepancies
● Generate official PD transcripts and licensing documentation for state certification
renewals
● Ensure compliance with the DESE Rules Governing Professional Development
Finance & Purchasing
● Generate purchase orders and process accounts payable for departments, including
Federal Programs, PD, Special Programs, Food Services, and other areas under
Curriculum and Instruction
● Maintain accurate budget records and monitor expenditures across multiple funding
sources
● Order and track district instructional materials and supplies, including curriculum,
supplies, and assessments
Additional Duties
● Maintain confidentiality and professionalism in all work
● Check out and track credit card usage for department purchases
● Perform other duties as assigned by supervisors
Required Qualifications:
● High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
● Significant administrative or clerical experience in an educational setting
● Strong computer skills: Microsoft Office, Google Suite, escWorks, eSchool, and eFinance
● Excellent organizational and multitasking abilities
● Outstanding written and verbal communication skills
● Ability to work independently and collaboratively across departments
Working Conditions:
● Full-time, 12-month position
● Office and school environments
● Frequent sitting, with periods of walking, standing, and occasional lifting
● May include occasional evening events or meetings

● Salary based on district classification and qualifications
